The self-assessment is based on the Deming model "Plan Do Check Act. It consists of regularly examining the key points surrounding how the organisation functions as well as actions to anticipate the dysfunctions. The self-assessment should be carried out at regular intervals. A quality manager maybe appointed to organise the self-assessment process (see internal and external communication. Before starting the self-assessment, a document review should be carried out in order to gather all the information needed for the evaluation (all documents presenting the organisation's values, activity reports, past evaluations or audits, etc) The quality manager may adapt the self-assessment tool if one or more assessment grids are not assessable in relation to their project. The referent will then be in charge of organising the self-assessment. Prior to the implementation of the self-assessment process, it is important to define the target group for the assessment. Here are some suggestions to help organise the self-assessment: The group focus should gather between 5 and 10 people The focus group must be multidisciplinary inviting partners may broaden the debates The self-assessment should be carried out during working hours. Summer holidays and intense work periods should be avoided Define the duration of the self-assessment; approximately, two times, for six hours. The self- assessment can be done in several stages Invite people by email / phone and followup with them
49 Send the assessment grid to the participants in advance and offer them to fill them in before the meeting Define thoroughly the roles of the organizers. A synthesis report should be written after the self-assessment process. It will allow us to identify improvements that should be made. Improvement actions will then be incorporated into an improvement plan, allowing us to prioritize actions which are more important to implement. The quality referent will draft the action plan with the participation of the work team. The referent will monitor the proper implementation of actions until the next self-assessment.
